Quote Permissions
By default, everyone in your company who can access quotes can view and edit all quotes in a quote hub. Some teams, however, want their users to only work on their own quotes and not see each other's quotes – especially pricing details like discounts.
Quote Permissions let you control this per quote hub. You decide the minimum role required to access quotes that are not assigned to a user, and whether the person who created a quote keeps access to it.
The assignee always has access
A user can always view and edit the quotes that are assigned to them, regardless of any other setting described below. Assigning a quote is therefore the simplest way to give someone access to it.
You can change the assignee directly in the quotes overview or in the quote details page.
Configuring permissions
The permission settings are part of the quote hub settings, which you can open with the three-dots context menu next to Add new Quote Hub.
Access to other users' quotes
Define the minimum role required for users to view or edit quotes they are not assigned to.
- Minimum role to view – the lowest role a user needs to view quotes that are not assigned to them.
- Minimum role to edit – the lowest role a user needs to edit quotes that are not assigned to them.
Both settings default to sales. With the default, every user can view and edit all quotes in the hub, because sales is the lowest role that can access quotes at all.
Raising a setting restricts access. For example, if you set Minimum role to view to developer, then sales users can only see quotes that are assigned to them, while developers and admins can still see all quotes.
Quote creator access
Grant creators permanent access to their quotes, even if they are not assigned to them.
- Creator can always view their quotes – the user who created a quote can always view it, even when it is not assigned to them.
- Creator can always edit their quotes – the user who created a quote can always edit it, even when it is not assigned to them.
Both settings are off by default. They only take effect once you raise the minimum role above sales: as long as everyone can view and edit all quotes anyway, they make no difference.
Enable them when you want people to keep access to the quotes they create, without having to assign every quote to themselves.
Things to keep in mind
- Quotes created by anonymous users (from a configurator) have no creator and by default no assignee either (see next point). Once you raise the minimum role above sales, these quotes are no longer visible to sales users and must be explicitly assigned to someone by a developer or admin.
- There is no automatic assignment. When a signed-in user creates a quote, they are not assigned to it automatically.
To make sure a user keeps access to the quotes they create, either:
- assign them in the configurator when the quote is created (for example
assignee: [ user.mail ], see How to work with quotes), or - enable Creator can always view their quotes / Creator can always edit their quotes for the quote hub.
